Terms

Last updated October 27, 2026

These are the general terms for Field Office AI, run by Brad Roe. Paid clients also sign a short written agreement before work starts; if anything here conflicts with that agreement, the signed agreement wins.

1. The service

We set up an AI phone receptionist for your business on Vapi (vapi.ai), in your own Vapi account. That includes writing its script from your answers about services, hours, service area, emergency rules and pricing policy; testing it before go-live; setting up a number or helping you forward your existing line; and call-summary emails to the address you choose. While your service is active, we adjust the script and settings when you ask.

2. Free 14-day pilot

The pilot costs nothing from us and there's nothing to cancel. At the end you choose whether to keep it. If you don't, we switch it off and your missed calls go back to voicemail.

3. Prices and payment

Plans are month-to-month. You can cancel with 30 days' written notice (email is fine); you pay for the notice period and nothing after it.

4. Your Vapi account and usage costs

You open and own your Vapi account and pay Vapi directly for usage (phone minutes, voice and AI costs), typically about $0.08 to $0.13 a minute. These costs are separate from our fees. We may give you our Vapi referral link; if you sign up through it, we may earn a commission from Vapi. Using it is optional and doesn't change your price.

5. Founding 3 money-back guarantee

If you ask within 30 days of your go-live date, we refund in full the $997 setup fee and your first month's $497 fee, no questions asked. If you take the refund, we switch the service off. Usage you paid directly to Vapi is between you and Vapi and isn't refundable by us.

6. AI disclosure and call recording

The receptionist always tells callers that it's an AI assistant and that the call is recorded. It never pretends to be a person or a member of your staff. You're responsible for your own call-recording consent and for the recording and privacy laws that apply to your business and callers (for example, California requires the consent of all parties).

7. No guaranteed results

We don't promise any number of calls, bookings, jobs or revenue. An AI receptionist can make mistakes. Review your call summaries and tell us anything that should be said differently, and we'll fix it. The receptionist doesn't give repair, medical or legal advice.

8. Samples

The sample call and sample videos on this site use fictional businesses, placeholder numbers, AI voices and AI test callers. They show how the service works and are not real customer calls or real client work.
