Never miss another
after-hours call.
Field Office AI sets up a done-for-you AI phone receptionist for small HVAC, plumbing and roofing companies. It answers when you can't, collects the job details, flags emergencies and emails you a summary of every call.
Run by Brad Roe. Built on Vapi. The receptionist always tells callers it's an AI and that the call is recorded.
An after-hours no-heat call, answered at 11 pm
SampleAI test callerFictional company
This is a recorded sample, not a real customer. Both sides are AI: an AI test caller playing a homeowner, and a demo receptionist for Valley Comfort Heating and Air, a fictional sample company. It was run as a simulation in Vapi on Oct 26, 2026. Speech-to-text mishears some digits of the phone number. Read the notes on Substack.
What to listen for
- Collects name, callback number, address and the problem
- Asks about equipment age and who is home (an elderly parent)
- Flags the call as urgent for the on-call tech
- Won't quote a repair price or promise an arrival time
Live in about 20 minutes of your time.
You keep your number. Calls you can't pick up forward to your receptionist.

We build and test it

Phone-minute costs are separate from our fees. You open and own your voice account (Vapi), and it bills you directly at cost, typically about $0.08 to $0.13 a minute. If you use our Vapi referral link, we may earn a commission; using it is optional and doesn't change your price. The money-back guarantee covers our fees, not usage you paid to Vapi. We don't promise any number of calls, bookings or jobs.
Your job photos, turned into short videos.
We turn your own job photos and phone clips into short captioned videos for Facebook, Instagram and YouTube. We'll make you a free sample first.

Questions owners ask.
Does it pretend to be a person?
No. The receptionist tells every caller that it's an AI assistant and that the call is recorded. It never pretends to be you or your staff.
Do I need a new phone number?
No. You keep your number and turn on "forward when busy / no answer" (or after hours) to the receptionist's number. Your carrier may charge for forwarded minutes; that's worth checking with them.
What happens with emergencies?
You decide what counts as urgent. For HVAC that might be no heat with a vulnerable person at home; for plumbing, active flooding; for roofing, an active leak in the rain. Urgent calls are flagged in the summary sent to you. If a caller mentions a gas smell, a carbon monoxide alarm, sparks or smoke, it tells them to leave and call 911 or the gas utility from outside.
Will it quote prices?
It only says the pricing line you give it, for example "we charge a diagnostic fee, credited to the repair" or "we quote on-site". It never quotes repair prices or promises arrival times.
What does the free pilot cost?
Nothing from us, and there's nothing to cancel. You see every call it handled during the 14 days, then decide whether to keep it.
Why do phone minutes bill separately?
You own your voice account (Vapi), so the minutes bill to you at cost, typically about $0.08 to $0.13 a minute. That keeps our fee flat and means you own the setup.
Can I cancel?
Yes. Plans are month-to-month. Founding 3 clients can cancel anytime with 30 days' written notice (email is fine), and can ask for a full refund of the setup fee and first month within 30 days of go-live.
Who is behind Field Office AI?
Field Office AI is a new agency run by Brad Roe, starting with small trades businesses in LA County. We use AI tools for research and email, and we're upfront about it. That's why we're offering founding-client pricing to our first three clients.
Who handles call recording consent?
The receptionist announces the recording on every call. You're responsible for following the recording and privacy laws that apply to your business; California requires the consent of all parties.
